Ad Astra ("We," "Us," "Our") is committed to protecting the privacy of our partners. This Privacy Policy explains how we collect, use, process, and disclose information in relation to your access to and use of the Ad Astra B2B booking platform (the "Platform").

This policy applies to the "Agent" (the travel agency, tour operator, or consultant using the Platform) and the "End-Client" (the traveler or final customer whose data the Agent provides to us).

By using the Platform, you (the Agent) acknowledge that you have read and understood this Privacy Policy.

2. Information We Collect

2.1. Information You (the Agent) Provide to Us:

Account Information: When you register as an Agent, we require information such as your agency's legal name, business address, contact person's name, email, phone number, and relevant legal identifiers.

Payment Information: To manage billing and credit, we may collect bank account details or manage your credit limit information via our integrated systems.

2.2. Information You Provide About Your End-Clients (Travelers):

To make a booking, you must provide information about your End-Clients, which includes:

  • Personal Details: Full name, date of birth, gender.
  • Travel Documents: Passport number, expiration date, and nationality.
  • Contact Information: Phone number and email address of the lead traveler.
  • Preferences: Special requests, meal preferences, or health/mobility information relevant to the booking.

2.3. Information We Automatically Collect:

  • Usage Data: Pages viewed, searches, and bookings made.
  • Log Data and Device Information: Log-in data, IP addresses, and device information.
  • Cookies: We use cookies and similar technologies.

3. How We Use the Information We Collect

  • To Provide and Fulfill the Service: To process bookings, confirm them with Suppliers, and issue vouchers.
  • To Create and Maintain Your Account: To authenticate you as an Agent, manage your B2B Credit, and provide customer support.
  • To Process Payments: To charge for bookings or manage your credit (via B2B Credit).
  • To Communicate with You: To send booking confirmations, invoices, support messages, and administrative updates.
  • To Maintain a Secure Platform: To detect fraud, block malicious activity, and comply with legal obligations.

4. How We Share and Disclose Information

4.1. With Suppliers (Hotels, Airlines, DMCs): We share your End-Client's information with the final Supplier to confirm and fulfill the booking.

4.2. With Core Technology & GDS Providers: We share booking data with our core platform provider and relevant Global Distribution Systems.

4.3. With Payment Gateways: We integrate with third-party payment gateways. We do not store full credit card details locally.

4.4. With Our Internal Business Tools: We use CRM and billing systems to manage Agent accounts and support.

4.5. With Legal Authorities: We may disclose information if required by law or governmental request.

5. Agent's Role as Data Controller (Crucial)

You (the Agent) are the Data Controller for your End-Clients' Personal Data. You warrant that you have obtained all necessary legal consents from your End-Clients to collect their data and to share it with Ad Astra and our Suppliers.

Ad Astra acts as a Data Processor on your behalf when handling your End-Clients' data to fulfill a booking.

6. Data Security

We implement and maintain robust administrative, technical, and physical security measures to protect your data from unauthorized access, loss, or destruction. This includes SSL/TLS encryption for data in transit.

7. International Data Transfers

Our business is global. By using the Platform, you acknowledge that your data will be transferred to, stored, and processed by us and our Suppliers in other countries, including the Russian Federation, UAE, Turkey, and EU member states.

8. Data Retention

We will retain your information for as long as your account is active and as long as necessary to fulfill our service obligations, comply with legal/tax obligations (typically 7-10 years), and resolve disputes.

9. Your Data Rights

You (the Agent) have the right to access, update, or correct your own Account Information. You are also responsible for updating or correcting the information of your End-Clients.
